To ease the process of employing Australian staff locally, and as a natural extension of our 
recruitment services, Polyglot offers a service of Contract Management or "Portage".
This allows you to recruit and employ your very own Representative in Australia, without the need to establish an Australian subsidiary or branch.
Polyglot becomes the legal Australian employer of your local Representative. The employment contract is signed between Polyglot and the selected candidate, and as such Polyglot is responsible and liable for all statutory charges and requirements.
The employment contract, designed in conjunction with you to reflect your needs, states clearly that although Polyglot is employing this individual, he/she is posted with you and will only work for you.
Summary of Contract Management core process elements:
1. Polyglot's total legal liability
As the Australian legal employer of your Representative, Polyglot is responsible for all legal and human resources related obligations and liabilities as well as all administrative and employee service activities.
- Payment of Payroll Tax (if applicable)
- Workers' Compensation (employees' compulsory work insurance)
- Superannuation (SCG)
2. Data Entry and Filing
- Polyglot will undertake all of the relevant data entry into our payroll system.
- Polyglot will manage leave (holidays & sick days) or other forms, which will be emailed, faxed, or mailed to Polyglot.
- Polyglot will maintain compulsory individual payroll files for the employee.
3. Processing / Compliance & Payment
Employee wages:
- Polyglot will process the payroll to produce a bank file which Polyglot will send to the bank, so payments are deposited directly into the employee nominated bank accounts, including all deductions (income taxes).
- Polyglot will generate monthly payslips. One copy will be sent electronically every month to the employee, while a second copy (hard copy) will be issued and filled in her/his Polyglot individual HR file.
- Polyglot will also issue a compulsory quarterly notification letter to the employee, summarising her/his superannuation payment for the period.
Employee Tax:
- Polyglot will process the employee's tax withheld, and compulsory monthly tax payments (PAYG) are paid directly to the ATO (Australian Taxation Office).
- We will issue compulsory Group Certificate at the end of each financial year to the employee to enable her/him to process his tax return.
Employee superannuation:
- Polyglot will process and pay the superannuation contributions for the employee directly by bank transfer or cheque into the employee?s Super Fund.
4. Detailed Reporting to You
Polyglot will generate a suite of standard reports at the end of each pay period (end of month), and/or quarterly, as well as at the end of each financial year. Reports include:
- Payroll Journal, payroll reconciliation,
- PAYG report (Taxes),
- Leave (holidays/sick days) liabilities / entitlements
- Employee Superannuation Report
- Monthly Additions/Deductions List,
- Superannuation contribution report quarterly
5. Customer Service
Polyglot will attend to the employee queries directly. The employee can contact Polyglot via telephone/fax or email.
Polyglot will also support overseas based management queries or concerns.
